Appointment types
The firm defines its appointment types in Configuration → Scheduling: consultations, client meetings, biometrics, interviews, hearings, signings, pickups and internal reviews. Each type sets its duration, mode (phone, video or in person), who can host it, its prerequisites (for example documents, a questionnaire or a payment) and its reminders. Reception books only what is defined here.
LegalBook's default appointment instructions are unapproved placeholders until the firm approves its own.
Availability
Attorneys and hosts set their availability from My availability (Attorney workspace):
- weekly bookable hours per weekday, with a preview of open slots for the next seven days,
- time off and blocks. Existing appointments inside a new block are flagged, never moved.
A scheduling administrator can edit someone else's availability; the screen then says whose it is. Team supervisors and coordinators can enter leave for their team.
Book an appointment
Booking works the same from reception, a call, an intake, a matter or a scheduling work item. Choose Book an appointment (or press b in reception appointments).
- Type: pick the appointment type.
- Who: the client and other attendees.
- Host: the attorney or staff member, where the type allows a choice.
- When: pick from open slots. LegalBook holds the slot while you finish, with a live countdown, and checks for conflicts.
- Details: location or link, notes and language.
- Book.
A double click or a retry after a network error books once. If the slot was taken meanwhile, the dialog shows why and offers others.
Conflicts LegalBook checks include overlapping appointments, blocks, time outside availability or business hours, firm and court holidays, and an attendee or interpreter who is already booked.
Reception appointments
Appointments in the Reception workspace lists today and the next seven days. From an appointment you can confirm by phone, reschedule, cancel, send a reminder now, add a client-safe note or book another. Reception sees the host and client attendees only, no outcome text and no internal notes. Agency appointments (biometrics, interviews, hearings) are not cancelled by reception: the screen says Ask a coordinator.
Appointment states
Proposed, scheduled, confirmed, rescheduled, completed, no show or cancelled. After an appointment, an outcome is captured; some outcomes go to an attorney for review. A no-show or cancelled appointment can be rebooked.
Calendars
The firm's calendars (attorney, firm, consultation, hearings, deadlines, office, team and personal) are shown in Calendar. Not available yet: syncing with Google or Microsoft calendars. See Reminders and calendars.
