What is LegalBook?

An operations platform plus a managed workforce for independent law firms, and what it does and does not do.

You practice law. LegalBook runs the operating system around you.

LegalBook is one operations platform for an independent law firm, plus a managed workforce that can work inside it. It covers the phone, reception and intake, matters, documents, workflows, the work queues of the people who prepare the files, quality review, attorney review, the client portal, scheduling, billing records and reporting. Every part works on the same record, so a call, the intake it starts, the matter it becomes and the documents in that matter are one history rather than copies in separate tools.

LegalBook is in early access. This manual describes what the product does today. Anything that is not available yet is marked Not available yet, and the full list is on Implementation status.

One record, many workspaces

Each person who signs in sees the workspace for their role. They all read and write the same firm record.

Workspace Who uses it What it is for
Reception Receptionists and intake staff Calls, callbacks, voicemail, text messages, prospects and appointments
Production Case operations staff (document specialists, case processors, paralegal-equivalent support, file clerks) The work queue, documents, correspondence, filings and training
Attorney Attorneys and supervising attorneys Only what needs a lawyer: reviews, decisions, conflicts, intakes, deadlines to verify and escalations
Firm Firm owners and administrators The dashboard, people, configuration, reports and the audit log
Supervisor Team supervisors, QA auditors and trainers The live board, queues, service levels, quality review and coaching
Client portal Clients and their authorized representatives Tasks, uploads, messages, appointments and plain-language milestones

A person with several roles moves between workspaces with the app switcher. See Finding your way.

How the work moves

  1. A call, text, email, website form or client message arrives. LegalBook knows which firm it belongs to and what the firm's rules say about it.
  2. A person handles it in the right workspace, with the caller's context in front of them.
  3. Anything that takes more than a moment becomes a work item: it has a queue, a service-level clock, the actions the worker is allowed to take, and an escalation path. See Work items and queues.
  4. Work that leaves the firm as legal work product passes an attorney gate first. Samples of completed work go through QA review, and anything wrong goes back for rework.
  5. The attorney sees the decisions only an attorney can make. The owner sees the business on dashboards.

What LegalBook is not

  • LegalBook is not a law firm. It does not give legal advice, does not form an attorney-client relationship and does not make legal judgments.
  • Your attorneys supervise all legal work. The firm decides what may be delegated. Legal decisions such as conflict clearance, eligibility, deadlines and filing approval are reserved to attorney roles, and the product enforces that.
  • When a caller asks for legal judgment, staff escalate to an attorney. They do not answer it.
  • LegalBook does not replace your system of record. It is built to connect to practice-management systems such as Clio rather than replace them. See How integrations work.
  • LegalBook ships no legal content. Rules that need a lawyer, such as deadline calculations, recording consent wording and conflict policy, start in a safe, do-nothing state until your attorneys configure them. See Firm settings.

Where things stand

The product described in this manual is built and tested. Some connections to outside services are not available yet, because each one must be certified with the vendor first:

  • live phone and text service through the carrier,
  • shared email inboxes,
  • online client payments,
  • e-signature,
  • Google and Microsoft calendar sync,
  • practice-management sync with Clio,
  • AI suggestions and call transcription.

The platform for a shared workforce serving several firms is built. LegalBook-staffed reception and case-operations teams are in early access and not available yet; today the workspaces are used by your own staff.

Each of these is marked Not available yet where it appears in the manual.
