Fee agreements, invoices, payment plans and recorded payments, and online payment through the firm's own provider (not available yet).

This page describes a capability that is not available yet: Online client payments. It is not offered today.

On this page

LegalBook records what clients owe the firm and what they paid. It does not hold client money: payments go to the firm's own merchant account, and trust accounting stays with the firm's provider.

Open Billing in the Firm workspace: Overview, Collections, Invoices, Payment plans, Payments, Fee agreements, Approvals, Subscription & usage, Payments setup and Reconciliation.

Fee agreements

A fee agreement records the terms agreed with the client for an engagement. Fee agreements are activated, amended, terminated or voided; they are never deleted.

Invoices

  1. Choose New invoice.
  2. Pick the client and matter, and add the lines.
  3. Issue it, then send it. The client sees it under Payments in the portal.

Invoices can be adjusted with credits or write-offs, and voided. Adjustments and refunds that need approval wait in Approvals.

Payment plans

A payment plan splits a balance into installments. Preview the schedule, then activate it. Installments can be skipped, rescheduled or retried.

When an installment is missed, the firm's policy decides what happens after the grace period. The safe default is to flag it only. LegalBook never hides or changes a legal deadline because of a payment, and when a plan becomes delinquent it prompts the attorney to review; it never decides what that means for the representation.

Recording payments

Record a payment received by check, cash or any other means with Record payment, and apply it to invoices. Refunds are recorded the same way.

Online payments

Not available yet. A firm will connect its own LawPay or Stripe account in Payments setup, test it and choose a default. Clients then pay from the portal through a payment link to the provider's own hosted page, and payment plans can use saved payment methods held by the provider.

LegalBook never shows a card field and never stores card or bank numbers. Only the provider's references are kept. Provider credentials are typed once, stored encrypted and never shown again, and connecting or disabling a provider needs a recent sign-in.

Reconciliation

Reconciliation compares LegalBook's payment records with the provider's, and lists anything that does not match for a person to resolve.
