Offices for each location

A location is an office of one firm; how to add offices and assign matters and work queues to them.

For: OwnerStaff

On this page

A firm with several locations is one firm in LegalBook. Each location is an office. Phone numbers, caller ID, mailboxes, calendars, availability and business hours can each name the office they belong to.

Add or edit an office

You need the Firm owner or Firm administrator role.

  1. In the Firm workspace, open Configuration.
  2. Choose the Offices tab.
  3. Add an office with its Name and Timezone, and optionally its phone and address.
  4. Turn on Primary office for the office used when nothing more specific applies. A firm has one primary office.

Get the time zone right. Business hours, service-level clocks, reminders and deadline arithmetic all use it.

Opening hours and holidays can apply to Every office or to one office. Set them on the Hours & holidays tab.

Assign a matter to an office

You need permission to edit the matter.

  1. Open the matter.
  2. From the Actions menu, choose Change office….
  3. Pick an office and choose Save office. To clear the office, choose Firm-wide and save.

The change is recorded on the matter's timeline and in the audit log.

Filter by office

  • Matters lists have an Office filter (All offices or one office).
  • The supervisor's Queues screen has an Office filter, where a queue is either firm-wide or belongs to one office.

How routing uses offices

When work is created for a matter, routing prefers a queue of the matter's office. If the office has no suitable queue, the work falls back to a firm-wide queue.

Shared workforce pools serve many firms and are never assigned to one firm's office.

Removing an office

Offices are soft-deleted, never erased. LegalBook will not silently remove an office that still has open matters attached to it.
