Users and roles
The 29 roles in five groups, the firm's own roles, and granting and revoking roles from Users & roles.
For: Owner
What a person can see and do in LegalBook comes from their role in the firm. Each role grants a fixed set of permissions; on top of that, each module narrows access to the specific matters, people and work items a person has a reason to see.
The role groups
LegalBook has 29 roles in five groups.
| Group | Roles |
|---|---|
| Firm | Firm owner / managing partner, Firm administrator, Attorney, Supervising attorney, Firm employee / support worker |
| Workforce | Workforce manager, Workforce scheduler, Team supervisor, QA auditor, Trainer / coach, Receptionist, Intake specialist, Client service specialist, File clerk / correspondence specialist, Document specialist, Translation specialist, Case processing assistant, Senior case processor, Case coordinator, Paralegal-equivalent support, Billing specialist |
| Client | Client, Authorised household member / representative |
| External | External co-counsel, Vendor / contractor |
| Platform | Platform super-admin, Platform security admin, Platform support engineer, Platform operations executive |
Workforce roles can be held by your own employees or by members of a shared workforce, who are authorized for your firm with specific roles. LegalBook-staffed teams are not available yet. Platform roles belong to LegalBook staff; a platform administrator who creates your firm gets no role in it.
Firm roles in brief
- Firm owner: everything in the firm, including granting the owner role. While the firm setting says so, the owner also counts as the attorney for intake decisions.
- Firm administrator: configuration, users, integrations, reports. Not legal decisions.
- Attorney and Supervising attorney: legal decisions, reviews, deadlines, conflicts, filing approval. Supervising attorneys also see the audit log and decide legal-judgment escalations by default.
- Firm employee: everyday work for the firm.
Grant a role
You need user-management permission (Firm owner or Firm administrator).
- Open Users & roles (press g u).
- Choose Grant a role.
- Enter the person's sign-in email and pick the role. A role can be limited to an office, a team or a practice area.
- Save.
If the person has no LegalBook account yet, the role waits and links to their account the first time they sign in with that verified email address.
The owners and admins of the firm's sign-in organization are Firm owner and Firm administrator from the start. Depending on the firm's setting, other members of the organization can be enrolled automatically as Firm employee.
Revoke a role
Find the assignment and choose Revoke. Give a reason; it is kept in the audit log. Only a Firm owner can grant or revoke the Firm owner role, and the last Firm owner cannot be revoked.
Revoking a role takes effect immediately: the person's access narrows on their next request, and work they held is released.
Attorney licences
Record each attorney's bar admissions and jurisdictions during onboarding. LegalBook uses them for routing hearing and filing work to a licensed attorney. It does not verify licensure; the firm remains responsible for its accuracy.
