Viewing, sharing and printing

Signed, time-bound links for viewing and downloading, share links outside the firm, one-time print tokens, and redaction for export.

For: AttorneyStaff

On this page

LegalBook never hands out a permanent address for a file. Every view, download and print goes through a link that is created after a permission check, works for a short time and for one purpose, and is recorded in the audit log.

View and download

  • View opens the document in LegalBook's viewer. The viewing link expires after a few minutes and is renewed in the background while you read.
  • Download needs download permission. Some roles can view but not download, and a firm can restrict downloads for production roles.

Share outside the firm

You can send someone outside the firm a link to one accepted version of a document. External sharing is off by default; the firm turns it on in its document policies. Sharing needs the share permission (firm owners, firm administrators, attorneys and supervising attorneys) and a recent sign-in.

  1. In the document viewer, choose Share.
  2. Set the expiry and whether downloading is allowed. A passcode can be required.
  3. Create the link. It is shown once. Copy it then; it cannot be read back.

The recipient opens a read-only share page with a "Shared with …" watermark. A view-only link has no download control. Every access is logged with time and address.

A share link stops working when it expires, reaches its access limit, or is revoked. It is also revoked automatically if the document is deleted, quarantined, rejected, archived or superseded, or becomes attorney-only. The document's existing links and their access counts are listed in the share dialog, where you can revoke them.

Print

Printing uses a one-time print token. Each token works exactly once, even if two requests race for it. Who may print is a firm policy.

Redaction for export

To export a document with parts blacked out:

  1. Draw redaction regions on the pages.
  2. Send the redaction for review.
  3. A different person applies it.

Applying a redaction produces a new document in which the regions are flattened into the image, so no hidden text survives under the black boxes. The original keeps its classification. If the redaction tool is not available on the server, applying fails with an error rather than producing a document that only looks redacted.

Annotations

Staff can annotate documents for each other. Annotations are not part of the document itself.
